View and Manage Page Restrictions

Open the Page Permissions Tab

In order to view and manage the page restrictions:

  1. Open the admin panel

  2. In the left navigation bar, select “Permission Management” then “Page Restrictions”

Tip

You can also access the page restrictions from the space tools, when you are a space admin.

Go to your space → space tools → Apps → Permission Management

Managing page restrictions in a space independently from users/groups

 

Select a space

To get the list of all pages and their restrictions, you need to select a space first:

  1. Click on “Select a Space”

  2. Type at least two characters of the space name

Tip

They do not have to be the first two characters of the name.

After selecting the space a list of all pages and subpages with the current restrictions is shown.

Tip

To see or unsee all subpages click on “Expand All” and “Collapse All”

Understanding the currently set restrictions and symbols in the page restriction tab

When looking at the table of pages the amount of information and settings displayed can be overwhelming.
Here is a short description of all symbols and their meaning.

No restrictions

There are no page restrictions

Editing restricted

Everyone can view the page, but only some can edit.

 

Viewing and editing restricted

The viewing and editing of the page is restricted. Only users/groups with permissions can view and/or edit.

NOTE: Viewing restrictions are inherited to subpages, edit restrictions are not.

Users/groups with permissions to the restricted page

Shows which users/groups have permissions in case the page is restricted.

Editing the page restrictions independently from a user/group

  1. For the page you want to restrict/lift the restrictions, go to the column “Restrictions”

  2. Choose a setting in the dropdown menu

  3. When you are done making changes, click on “Save permission changes”
    (You need to save the changes you made, before going to the next page)

  4. If you want to “Reset” all made changes and restore the original state, click on “Reset”.

Tip

To find out the original setting (without having to reset all made changes), have a look at the following:

  • originally “No restrictions”: open lock and no people-icon next to the drop down

  • originally “Editing restricted”: open lock and a people-icon next to the drop down

  • originally “Viewing and editing restricted”: closed red lock and a people-icon next to the drop down

Managing permissions for restricted pages for a user/group

You can also edit the page permissions of a specific user/group

 

Selecting the user or group

To view or manage page permissions for a certain user/group you have to select the respective user/group:

  1. In the last column, click on the “Select”-button

  2. Choose whether you want to select a user or group

  3. Type at least two characters of the name of the user/group you want to select

Tip

They do not have to be the first two characters of the name.

After selecting the user/group the currently set permissions for the pages in the selected space are shown.

Editing page permissions for a user/group

After selecting a user/group, you can edit their space permissions:

  1. Click on the according checkboxes, where you want to set/remove permissions for the selected user/group

Note

  • Depending on the Restrictions set for a page, checkboxes will be disabled.
    e.g.: If “no restrictions” is selected for a page, you won’t be able to check the view and edit checkbox for a user/group.

  • If you check the “edit permission”-box, view permissions will be checked automatically

2. When you are done making changes, click on “Save permission changes”
(You need to save the changes you made, before going to the next page)

Tips

  • Changes will be marked with an asterisk, so you always know what the orignal setting was

  • In case you selected a user, checkboxes will have a blue background if the user has permissions for that case by a group membership

  • Next to the “view permission”-checkboxes of a subpage an “info”-icon is shown, reminding you that this subpage might inherit view permissions from its parent page.

Apply and removing permissions to and from all pages

In case you want to apply/remove a permission to/from all pages in the space for a user/group:

  1. Click on the button on top of the list in the column of the permission you want to set.
    The top one applies permissions to all pages in the space, which have a restriction set
    The bottom one removes them.
    The selected permission will be set for all pages in the space, meaning also those pages which are not shown on the current page in our app.

  2. When you are sure, you want to set that permission, click on “Yes” in the pop-up window. After that the changes take effect immediately. You do not have to click on “Save permission changes”

Attention

  • In case you have a lot of pages in the space this action might take a while.
